Privacy Policy

This Privacy Policy explains how Biotrax Testing Laboratory Inc. collects, uses, and protects information submitted through the Biotrax website, including information provided through contact forms, appointment-booking tools, online supply ordering, email subscriptions, and other website features.

Last updated: August 25, 2026

ABOUT THIS POLICY

This policy applies to information collected through the Biotrax website available at www.mybiotrax.com

Biotrax also owns or uses other domains, including www.biotrax.net , which may redirect visitors to the current website.

The TRAX Client Portal is a separate laboratory client platform used for applicable client, test-order, sample-information, billing, and reporting activities. Information maintained through TRAX may be subject to additional account, confidentiality, security, and record-retention requirements.

By using the website or voluntarily submitting information through a website form, online store, appointment tool, or email-subscription feature, you acknowledge the practices described in this Privacy Policy.

INFORMATION WE MAY COLLECT

The information Biotrax collects depends on how a visitor uses the website.

When you contact Biotrax, request testing information, request sample pickup or onsite water collection, order supplies, or subscribe to email communications, you may provide:

  • Your name
  • Company or organization name
  • Email address
  • Telephone number
  • Billing, shipping, pickup, or service-location information
  • Product or sample information
  • Requested service or testing need
  • Preferred appointment information
  • Site-access, delivery, or collection instructions
  • Supply-order information
  • Information included in a message or inquiry
  • Email-subscription preferences

IMPORTANT: Please do not submit payment-card information, passwords, unnecessary personal information, or other sensitive personal information through a general contact form. Before sending proprietary formulas or other highly confidential business information, contact Biotrax to confirm the appropriate submission method.

When you visit the website, certain technical and usage information may be collected automatically by Biotrax or its website-service providers. This may include:

  • Internet Protocol address
  • Browser and device type
  • Operating system
  • Pages visited
  • Referring website or link
  • Date and time of access
  • Website interactions
  • General location information derived from an IP address
  • Cookie, session, or similar technical identifiers

This information may be used to operate the website, maintain security, understand website performance, and improve the visitor experience.

HOW WE USE INFORMATION

Biotrax may use information collected through the website to:

  • Respond to testing inquiries and quotation requests
  • Clarify testing objectives and sample requirements
  • Communicate about submitted requests
  • Coordinate sample pickup or onsite water collection
  • Process and fulfill applicable supply orders
  • Provide shipping, delivery, or order-status information
  • Assist with website, store, appointment, or portal questions
  • Maintain appropriate business and transaction records
  • Send email communications when a visitor has chosen to subscribe
  • Operate, maintain, secure, and improve the website
  • Prevent spam, fraud, misuse, or unauthorized activity
  • Meet applicable legal, financial, contractual, security, or quality-system requirements

IMPORTANT: Information submitted through a website form does not automatically establish a laboratory test order, confirm sample acceptance, guarantee an appointment, or establish a turnaround time.

TESTING INQUIRIES AND QUOTE REQUESTS

Information submitted through the Contact page may be reviewed by authorized Biotrax personnel responsible for client communication, sample coordination, technical review, quotations, laboratory operations, quality, or administration.

Biotrax may use the information to understand the request, identify what additional information is needed, determine an appropriate testing path, prepare a quotation, or communicate about sample and submission requirements. Visitors should provide only the information reasonably necessary for Biotrax to understand and respond to the request.

SAMPLE PICKUP AND WATER-COLLECTION REQUESTS

When you request local sample pickup or onsite water collection, Biotrax may collect:

  • Company and contact information
  • Pickup or collection address
  • Preferred date or appointment window
  • Sample or water-source information
  • Requested testing or collection service
  • Site-access, receiving, parking, or location instructions
  • Other information needed to review and coordinate the request

Biotrax uses this information to evaluate availability, coordinate the requested service, communicate about the appointment, and maintain appropriate operational records.

IMPORTANT: Submitting an appointment request does not guarantee the requested date or appointment window. Biotrax reviews the submitted information and separately confirms the arrangement with the client. Confirming sample pickup or onsite water collection does not automatically establish the laboratory testing associated with the samples. Testing and submission requirements must be confirmed separately.

ONLINE SUPPLY ORDERS

Sampling and shipping supplies offered through the Biotrax website are generally intended for existing or eligible Biotrax clients and applicable laboratory submissions.

When you submit a supply order, the website may collect:

  • Customer and company information
  • Email address and telephone number
  • Billing or delivery information
  • Products and quantities ordered
  • Order and transaction information
  • Shipping or delivery instructions

Supply orders are currently reviewed and invoiced separately. Biotrax does not currently collect payment-card information through the website. Supply-order information may be used to review and fulfill the order, communicate about availability, coordinate delivery, maintain transaction records, and respond to order-related questions.

Where available, customers may place an order as a guest or choose to create an optional website account. A website account is separate from a TRAX Client Portal account.

EMAIL COMMUNICATIONS

Visitors may choose to subscribe to Biotrax email communications.

Subscription information may be used to send laboratory updates, educational information, service announcements, website updates, or other Biotrax communications.

Subscribers may unsubscribe using the instructions included in an email or by contacting Biotrax. Subscribing is optional and is not required to submit a testing inquiry, request a quote, order supplies, or request a service.

Submitting a testing inquiry, appointment request, or supply order does not automatically subscribe the visitor to optional email communications.

Biotrax does not provide the carrier with laboratory test results or unnecessary information about the client’s testing program. Additional information may be provided when required for lawful transportation, shipping documentation, or carrier requirements.

Biotrax does not disclose website-submitted personal information except as reasonably necessary for the purposes described in this policy.

Biotrax does not sell or rent personal information collected through its website or provide website contact information to unrelated companies for their own marketing purposes.

LABORATORY AND CLIENT RECORDS

Information associated with TRAX accounts, laboratory testing, client contacts, test orders, sample submissions, reports, quotations, billing, quality records, financial records, or other client work may be subject to additional confidentiality, contractual, legal, quality-system, and record-retention requirements.

This information may be used to support client administration, test-order processing, sample identification, laboratory reporting, billing, communication, and applicable quality-system activities.

A request to delete general website information does not automatically require deletion of laboratory, financial, quality-system, contractual, or other records that Biotrax is required or reasonably needs to retain. Questions concerning TRAX Client Portal information or laboratory records should be directed to Biotrax.

HOW LONG INFORMATION IS RETAINED

Biotrax retains website information for as long as reasonably necessary to:

INFORMATION SECURITY

Biotrax uses reasonable administrative, technical, and physical measures intended to protect information under its control from unauthorized access, use, alteration, disclosure, or destruction.

No website, transmission method, or electronic-storage system can be guaranteed to be completely secure. Visitors should use care when deciding what information to submit through a website form or email.

If Biotrax becomes aware of a security incident involving covered personal information, it will evaluate and respond to the incident in accordance with applicable requirements.

Privacy requests do not automatically apply to laboratory reports, test orders, quality records, financial records, or other information subject to separate retention requirements.

CHILDREN’S PRIVACY

The Biotrax website and its laboratory services are intended for businesses, organizations, and adults seeking laboratory-related information or services. The website is not directed to children under 13, and Biotrax does not knowingly collect personal information from children under 13 through the website.
